What we hold about you

What we hold

• Your name and email address.
• Your children’s names and school classes.
• Which lunch each child chose on each day, and any star rating you gave it.
• Anything you typed into the note box, and any feedback you sent us.
• Your phone number, only if you gave it to us.

That is the entire list. There is no date of birth, no address, no medical or allergy record against any child, and no payment information — the meals are funded under the school meals scheme and there is nothing to pay.

Why

So we can email you the menu, cook the right number of the right meals, and put the right lunch in front of the right child at Ballymoney NS. Nothing else.

The lawful basis is your consent, given when you signed up. What you agreed to was this:

I'm happy for Tim Stone Ltd to hold my name, email and my children's names and classes so they can send me the menu and prepare the right meals. Nothing else is stored, it isn't shared with anyone, and I can ask for it to be deleted at any time.

Allergens

Every meal carries a Contains … line naming any of the 14 regulated allergens in it. It appears on the option before you choose it and again on the sheet that travels with the delivery. We do not hold a record of what any child is allergic to, and nothing in this system screens meals on your behalf — you read the declaration and you decide.

How long

• Orders, ratings and feedback are deleted after 12 months.
• Ordering links expire at the end of the week they are for and are then deleted.
• Your contact details and your children’s names stay while you are signed up, and go when you ask us to remove them.

Who sees it

Tim at Tim Stone Ltd, and nobody else. It is not sold, shared or passed to the school. There are no analytics, no third-party scripts on these pages, and no tracking pixels in our emails.

It is stored with Supabase (EU) and the emails are sent through SendGrid, both of which act only on our instructions.

Having it deleted

Reply to any of our emails or ring Tim on 087 404 7128 and say the word. Everything about your family is deleted, and you will get no further email. You can also ask for a copy of what we hold, or ask us to correct it.
